Build a template for the task
Start with an empty template, adapt an industry starter or copy a company template. Give it a clear name and add points with guidance, sections and suitable response types.
All active employees can create and edit template drafts. Publishing a shared company template is a separate action requiring a change note and appropriate publishing permission. Work on a new draft does not change the published version.
Record answers that reflect the actual conditions
Points can use yes/no/not applicable, text or numbers with units and optional acceptance limits. No and Not applicable require a note. A measurement outside its limit must be recorded as a finding rather than replaced with an acceptable value.
Choose the assignment and phase when creating the check. Its points can be adapted before the first saved response. Afterwards, responses and history remain tied to the saved structure; protected critical points have separate change rules.
Follow a critical finding until it is resolved
Create an action with a named person and due date from a point finding. A critical No or an out-of-limit critical measurement prevents completion until a successful recheck or a verified action linked to that finding resolves it.
Saving responses and completing the check are different actions. A completed check is locked. Create a new empty copy to repeat the check; the previous check and earlier reports retain their supporting records.
